Trustees (Asia) Limited offers the Karma Group numerous additional back-office services outside of its core trustee activity and always strives to achieve the highest standards of service, flexibility, confidentiality, integrity and independence. We take charge of those time-consuming administration processes on a regular basis, allowing Karma to free up valuable resources.

Client Database & Inventory Management

In a sales oriented environment, efficient and professional control of holiday inventory including holiday weeks/points/units being sold is imperative to the success of not only the Developer’s organisation, but also a key factor in the credibility of the product with the purchaser.

The Trustee produces regular reports comparing the number and type of timeshare members, with an analysis of the inventory it holds in trust. Adequacy of holiday accommodation, while also considering the accommodation size, seasonality, occupancy type, is ensured prior to issuance of a membership certificate. Therefore, every member who is in receipt of Membership Certificate can be rest assured that their holiday membership purchase is properly backed by the appropriate number of holiday accommodation.

Escrow Services

In today’s ever demanding business environment, it is of increasing importance to ensure that the good reputation of an organisation remains intact and that it does not place itself at risk due to the actions of a third party, which could mishandle funds or default on the delivery of the end product.

The Karma Group use Hutchinson’s Escrow Services to manage the distribution of funds for certain products which helps mitigate this risk. Fractional products, for example, where units within the project are sold come an allocated Termination Date would see our Escrow Service handle the funds received from the sale of the unit whereupon said funds would be transferred to our independent client escrow account. The sales proceeds would then be distributed to members in line with the guidelines set out in the projects Rules. This is a secure service offered to the Karma Group which allows external sales agents to focus on the selling side rather than the collection of funds.

Contract Processing & Issuance of Member Certificates

The Hutchinson Asia back-office team process purchasers’ contracts and issue certificates once the formalities have been completed under the terms of the contract between Karma and their prospective member. Such service provides members with an independent validation that their purchase has been verified and that their names have been formerly registered in Hutchinson Asia’s database. Both Karma and their members benefit from the credibility attained from this service.

Legal-documentation

Review of Legal Documentation

In accordance with our role in setting up the required trust structure for Karma products, we liaise with legal contacts around the world with focus on local legislation to perfect the trust wherever the Karma resort is based. This involves reviewing legal paperwork and confirming with legal counsel that the structure has adequate provisions to formalise arrangements set out in the Deed of Trust, an exclusive document between Hutchinson and the Karma Group, and protect Karma’s members’ legal right to occupy the accommodation for the period of their membership.

Mail-outs & Addressing Member Queries

On occasions, notifications will need to be sent to each Karma member for a specific product which Hutchinson Asia is appointed to act for, and our back-office team facilitate the processing of such correspondence along with our colleagues at Karma. This allows members to be kept up to date on any matters concerning Hutchinson Asia’s trust service and their membership.

We also provide a helpdesk for Karma members which includes an email contact dedicated to assisting with any queries members may have regarding our service provision. We also liaise with Karma’s team regarding any issues to make sure members receive an efficient response.

Company Formation & Administration Services

As part of our Company Formation & Administration Services, we assist Karma in establishing UK or overseas companies and in dealing with their incorporation and administration. Such companies will be used under the relevant trust structure to ring fence the trust asset. Our Company Formation services include a rapid, free name search and completion of all requirements. As part of the service, we will draft standard, comprehensive Memorandum and Articles of Association and specific Objects that can be tailored to meet individual developers’ needs.
